We process personal information to facilitate service inquiries, account management, billing, and technical support. This includes data from website interactions, service applications, and customer communications. All processing adheres to POPIA’s conditions for lawful processing, including accountability, processing limitation, purpose specification, further processing limitation, information quality, openness, security safeguards, and data subject participation.
Comments
When visitors leave comments on the site, we collect the data shown in the comments form, including your name, email address, and the comment content. We also capture the visitor’s IP address and browser user agent string to help detect spam and ensure the integrity of our platform. This collection is necessary for moderating discussions and preventing abuse, aligning with our legitimate interest in maintaining a secure and functional website.
Under POPIA, we obtain your implicit consent for this processing when you submit a comment. An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.
These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website. We do not sell your data and limit sharing to minimum required fields. International transfers (e.g., to Gravatar) are subject to adequacy decisions or standard contractual clauses under POPIA to ensure equivalent protection.
How Long We Retain Your Data
Data retention is guided by POPIA’s purpose specification principle—we keep information only as long as necessary. If you leave a comment, the comment and its metadata are retained indefinitely to facilitate ongoing discussions and moderation.
For users that register on our website (e.g., client portals), we also store the personal information they provide in their user profile for as long as the account is active, plus up to 7 years for tax and audit purposes under the Tax Administration Act. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
Broadband or VoIP service data, like usage logs, is retained for 12 months to support billing and dispute resolution. Media uploads are kept for 6 months unless part of ongoing support tickets. We regularly review and delete unnecessary data to minimize risks.

Where Your Data Is Sent
Visitor comments may be checked through an automated spam detection service, such as Akismet, which processes IP addresses and content. Data may be sent to servers in South Africa or, for third-party tools like Gravatar, internationally, but always with POPIA-compliant safeguards.
For broadband services, data like IP addresses is logged on local servers for network management. VoIP call metadata (not content) is processed via secure cloud providers with data localization where possible. We conduct data protection impact assessments for transfers and use encryption (e.g., TLS) to protect transit.
Additional Security Measures
We implement reasonable organizational and technical safeguards under POPIA Section 19, including firewalls, access controls, and regular audits. In case of a data breach, we notify the Information Regulator and affected individuals within reasonable timeframes, as required by POPIA.
